FLSA Status: Part Time, Non-Exempt, 24 hours per week Location: Combination of remote and office based (Tuesday - Thursday in office)

Pay Range:  $27-$30 an hour

Position Summary:
The Administrative Assistant is responsible for administrative support for the CEO and leadership team, liaison to the Board of Directors and Committees through coordination of meetings and correspondence, and general office intake duties. The Administrative Assistant manages the day-to-day leadership and office support needs contributing to the CEO’s efficiency and effectiveness through insight, intellectual capacity, planning, and agility.
 
Core Duties:
CEO Administrative Support
  • Manage the CEO calendar, including corresponding with outside constituents to schedule appointments, meeting action items, and materials coordination.
  • Develop or support complex projects including presentations, reports, research, and insights.
  • Demonstrate initiative, discretion, and tact to respond quickly to and anticipate needs.
  • Operate as a liaison between leaders, board of directors, committee members, team members, and partners.
  • Coordinate both internal and external meetings and/or events for CEO and Leadership Team
  • Schedule and attend weekly Leadership Team meetings; take and distribute minutes and action items.
  • Special projects as assigned.

Board Coordination

  • Manage the calendar of board and committee meetings, ensuring all participants are aware of the schedule and tracking their attendance.
  • Prepare agendas and corresponding materials to be sent out in advance of all board and committee meetings.
  • Create, edit, gather/prepare, and send all necessary committee and Board meeting materials, schedule/attend all board and committee meetings, and record and distribute minutes within a week after each meeting.
  • Maintain updated lists of board and committee members with current contact information in customer relationship management (CRM) database.
  • Track all board and committee volunteer and service hours into CRM database.
  • Complete various special projects relating to the board throughout the year.
  • Coordinate logistics, catering, and technology needs for occasional in-person board meetings and annual Board Retreat.

Required Skills & Experience:
  • 4 years of experience in an executive assistant or administrative assistant role that included administrative assistance with a board of directors.
  • Proficiency in Microsoft Office Suite including Outlook, PowerPoint, Word, Teams, SharePoint and Excel, with an ability to learn and adapt to proprietary industry software products.
  • Experience planning and organizing events for groups ranging from 5-30 people.
  • Ability to work a varied schedule is necessary.
  • Strong writing and editing ability.
  • Proactive and responsive communicator.
  • Organized and detail oriented, with the ability to track multiple unrelated tasks simultaneously.
  • Capable of maintaining strict confidentiality.
  • High degree of initiative, curiosity, critical thinking, and problem-solving ability.
  • Excellent customer service skills.
  • Excellent cultural competencies and ability to collaborate across diverse perspectives, ideas, and people with diverse backgrounds.
  • High level of commitment to issues of gender equality and the social mission of the agency.

Work Environment/Physical Demands
Ability to work a varied schedule is necessary, including both day and evening hours.
While performing the duties of this position, the employee is frequently required to sit for extended periods and may be required to stand for an extended period.
